Papers Template
On this page you can read our instructions for writing a paper to be published in the conference proceedings of the Tonmeistertagung. The template can be downloaded here in German and English.
A prerequisite for submitting the paper is the assurance that the author holds the copyright for the entire content of the manuscript. She/he transfers to VDT the right of publication in printed form, online or as PDF download from https://tonmeistertagung.com or https://tonmeister.org respectively.

1. Introduction
Using this OpenDocument template, you can prepare your paper manuscript for submission to the editors. OpenDocument text can be edited with the free and open-source LibreOffice package. To ensure a consistent structure and appearance in the proceedings, you are kindly requested to make use of this template.
When you open this OpenDocument template (.ott), a new unnamed document will be created from it. The template contains all necessary presets, descriptions and examples to make your manuscript conform to our publishing standards.
All Text and graphical elements are formatted using formatting templates called styles. To help you get started, the names of the styles are spelled out in square brackets throughout this text when they first appear. You can access a list of styles by pressing F11. To make the list more manageable, you can limit it to only the “applied styles”, i. e. those which are actually in use in the document.
Please use styles exclusively, and refrain from direct formatting of text elements, with the possible exception of single-word italics and the like. This will ensure visual consistency and a structure that improves readability, and considerably ease the job of the copy editors.
When you copy text fragments from your manuscript source, we advise to insert it as unformatted text (Ctrl + Alt + Shift + V) and to apply any formatting in the context of this document. This way, you prevent non-conforming format settings from creeping into the document.
1.1 System requirements
This template was created and tested using LibreOffice 7.2.4.1. LibreOffice ist freely available under an open source license for all major operating systems. The use of other word processors is discouraged, as it may lead to layout deviations.
2. Visual appearance
Your submission will be published in a joint document together with papers of other authors. Therefore it is important to adhere to the following rules:
- no additional headers or footers; [Bullet List]
- no manual page numbering;
- no footnotes – please cite your references as endnotes, and insert asides or commentary directly into the text body;
- no changes to the page settings;
- no manual numbering – if you use the styles [Heading 1] through [Heading 3], chapters will be numbered automatically.
Your manuscript should not be longer than 8 to 12 pages.
3. Layout and typesetting rules
This document uses a line grid to ensure a pleasant appearance of the two-column layout. That means the spacing between paragraphs and other block elements cannot be chosen freely. To give you some control over the text flow, the standard [Text Body] style does not add vertical spacing at the end of a paragraph. We have inserted a line break here to illustrate that.
Please insert additional line breaks as required before starting a new train of thought, as demonstrated here. However, do not insert additional lines before a new section with its own headline. All formatting detailes described in this section are automatically taken care of if you use the appropriate styles.
3.1 Page layout
Pages are DIN A4, with a dual-column layout. Borders are the same on every page, there are no left and right pages. Each page has a header with a reference to the event. The title page has an additional text box for title, author(s), and abstract as well as a footer with a contributor license agreement.
3.1.1 Page margins
Margins at the top and to the left and right are each 1.50 cm. Bottom margin is 2.00 cm to allow the final pagination to be substituted in the camera-ready version. The spacing between the columns is 0.70 cm.
The light-gray line numbers are applied automatically, to simplify communication during the editing phase. They will be disabled in the camera-ready version.
3.2 Typography
We use Liberation Serif in 10 pt as the base font. This typeface family is freely available under the terms of the SIL Open Font License. Its font metrics are identical to those of the Times New Roman, which may be substituted during editing if necessary. Selected elements are set in Liberation Sans in different sizes. The latter is metrically compatible to Arial. Both font sets are embedded into this template, which allows you to use them even if they are not installed on your system. Do not embed any other fonts into your submission, unless they are under a free license and strictly necessary to render formulas etc. correctly.
Quotation marks should conform to the standard of the document language. Please use “english” quotes. LibreOffice will take care of that if the document language is set correctly, as in this template.

Please use non-breaking narrow spaces between values and their units, as shown here: 9.81 kg·m/s²
Do not use hyphens instead of dashes – LibreOffice will automatically convert them for you if you let it.
3.2.1 Title of the paper
The title is set in 14 pt bold, sans-serif, in title case, i. e. all words except generic particles of four letters or less are capitalized. An optional German alternative title may be added in parentheses, 14 pt italics, sans, normal weight. Next, we have the list of authors in 12 pt, normal weight, followed by their affiliations in 11 pt italics with numbering in superscript, as shown.
All elements in the head are centered.
3.2.2 Headings
Try to limit your document structure to three levels. As long as you use the appropriate heading styles, the numbering is taken care of automatically. In headings inside the document, only the first word should be capitalized.
- First level: 12 pt bold, sans-serif. Numbering: n.
- Second level: 11 pt. Numbering: n.m
- Third level: 10 pt. Numbering: n.m.o
All headings are aligned to the left.
3.2.3 Text body
The main text body is set justified in 10 pt, normal weight. Regarding the whitespace between paragraphs see the introductory remarks in chapter 3.
Incidentally, the number above is an internal cross-reference, the numbering of which is then updated automatically. You can create references to arbitrary document objects via the “Insert” menu in much the same way as for illustrations, tables or formulas.
4. Citing sources
All sources are collated in order of appearance at the end of the text according to the IEEE Standard Citation Style [i]. This is done by adding an endnote via the “Insert” menu. Again, the numbering is taken care of automatically, and the cursor will jump to the references section at the end of the document, where you can enter the source reference. A click on the number takes you back to the citation in the text. Please note that the IEEE style is not entirely automatic in LibreOffice: in the text, you must manually add the braces around the citation number.
Here are a few more examples of citations from articles [i], books [ii], and web sites [iii].
The number of references should be appropriate for the length of the paper. It is advised that the references section not surpass one page in length.
5. Special elements
5.1 Graphics
Diagrams and photos are sized to full-column width or centered. In the text, please reference them as “1” etc. Captions are set in 9 pt, normal weight.
Select the desired image file via “Insert/Image”. By right-clicking on the image you can add a caption, Please select the category “Figure”.
5.2 Tables
Tables are created via the “Tables” menu. Please set headers in bold face, as demonstrated in the following example. Table captions are created in the same way as image captions as mentioned in chapter 5.1, please choose the “Table” category and position “Below”.
5.3 Equations
Equations should be numbered and centered with respect to the column, as illustrated in the following example (1):
(1) Make sure that all variables are explained in the text when they first appear.
In LibreOffice, formulas are created using the AutoText feature: go to the place where you wish the formula to appear, type “fn” and press F3. A single-row table with a formula element and right-aligned numbering is inserted automatically.
(2) References to equations are created via the “Insert” menu, but confusingly, the type is “Text”: equation (2) shows the Kirchhoff integral according to Bruneau [iv].
The above examples have been made with the formula editor of LibreOffice. Alternatively, you may use an external tool of your choice and insert the formula as a graphical element. Please ensure a sufficient resolution of at least 600 dpi, or use the SVG vector format.
6. Schedule / submission of manuscript
We are looking forward to your submission until November 20, 2023 to our Paper Chair Cornelius Pöpel, .
Our team will vet your contribution as to formal correctness (conformance to layout rules, product neutrality, etc.) and provide feedback to you until 12/18/23,
Should it become necessary, you may submit a revised version until 01/08/24. Afterwards, all submissions are collated into a single document.
The proceedings will be published by February 26, 2024.
6.1 File formats
Please submit the original document in .odt format as well as a PDF for layout verification. We recommend the following PDF export settings:
- lossless compression of photos and graphics
- PDF/A-3b archival format
7. Closing remarks
The author declares to hold all rights to the entire content of the manuscript. The author grants VDT e.V. the right to publish the manuscript in printed form or online. We ask you to specifically take care that you have all necessary rights to illustrations used in your submission.
Company logos or advertising for commercial products are not allowed in the manuscript. Failure to comply may lead to exclusion from the proceedings and classification of your submission as a commercial contribution.
